First-Time Setup & Company Creation
This section will guide you through creating your first company in Versoll Books. You will learn about the welcome page, understand each field in the setup process, and discover how to create a demo company to explore the software.
Welcome Page Overview
When you open Versoll Books for the first time, you will see the Welcome Page. This is the starting point of the software. On this page, you will see the following options:
- New Company - For setting up your actual business from scratch
- Existing Company - For importing an existing Versoll Books database file
- Explore Demo - For exploring the software with sample data (only shown if no existing companies)
After you create one or more companies, you will see a "Recent Companies" section showing your previous company files. You can click on any company to open it, or create a new company or demo company using the buttons provided.
Multiple Company Support
Versoll Books supports managing multiple companies, making it ideal for accountants and business owners who handle multiple businesses or clients:
Separate Databases
Each company has its own complete database file with complete data isolation. No data is shared between companies.
Easy Switching
Switch between companies anytime using "Change DB" option in sidebar or from Welcome Page.

Note: While Versoll Books works completely offline, you may need internet for software updates and optional features like email sending. These are not required for core accounting functionality.
Choosing the Right Option
If this is your first time using Versoll Books and you want to understand how the software works, we recommend starting with Explore Demo. If you are ready to use Versoll Books for your actual business, choose New Company.
Create New Company
If you want to use Versoll Books for real business accounting, click on New Company. This option is for users who want to:
- Set up their actual business from scratch
- Enter real financial data
- Use the software for daily accounting operations
When you click New Company, you will be taken to the "Set up your organization" page, where you need to enter your company details.
Setup Your Organization Page
The "Set up your organization" page asks for essential information about your business. Each field exists for a specific reason and affects how your accounting data is recorded and reported. Below is a detailed explanation of each field:
Company Logo (Optional)
Upload your company logo. This is optional and you can skip it if you don't have one ready.
What to Enter
Click the logo area to upload an image file. The logo will appear on your invoices, reports, and other documents generated by Versoll Books.
Why It Matters
Adding a logo makes your documents look professional and helps with brand recognition. You can always add or update it later.
Company Name (Required)
Enter the legal or business name of your organization. This is the official name under which your business operates.
What to Enter
Type the exact name that appears on your business registration documents, invoices, and official records. For example: "ABC Trading Company" or "XYZ Services Pvt Ltd".
Why It Matters
This name will appear on all your invoices, reports, and documents generated by Versoll Books. It ensures consistency in your business communications.
Full Name (Required)
Enter your full name as the primary user or contact person for this company.
What to Enter
Enter your complete name in the format: First Name Last Name. For example: "John Doe" or "Priya Sharma".
Why It Matters
This is used for identification and may appear in system communications. It helps identify the primary account holder or administrator of the company file.
Email (Required)
Enter your email address for receiving communications about the company.
What to Enter
Enter a valid email address that you regularly check. For example: "john@company.com" or "info@business.com".
Why It Matters
This email may be used for important notifications, updates, or support communications related to your Versoll Books usage.
Country (Required)
Select the country where your business operates.
What to Enter
Choose the country from the dropdown list. For Indian businesses, select "India". The default is set to "India".
Why It Matters
The country setting determines accounting standards, currency, date formats, and tax-related settings applicable to your business. For Indian users, this enables GST-specific features.
Currency (Required)
Select the base currency for all your transactions.
What to Enter
Choose from the list of available currencies. For Indian businesses, select "INR" (Indian Rupee). This typically auto-fills based on your country selection.
Why It Matters
This is the default currency for all invoices, bills, payments, and reports. While you can record transactions in other currencies, they will be converted to this base currency for accounting purposes.
Bank Name (Required)
Enter the name of your primary bank where you hold business accounts.
What to Enter
Enter the official bank name. For example: "State Bank of India", "HDFC Bank", "ICICI Bank", or "Chase Bank".
Why It Matters
This helps in organizing your banking information and is used when setting up bank accounts within Versoll Books. You can add more banks later.
Chart of Accounts (Required)
Select the Chart of Accounts template for your business.
What to Enter
Choose from the available Chart of Accounts templates. The default template is typically recommended for most businesses. You can customize it later.
Why It Matters
The Chart of Accounts defines the structure of your financial recording - how assets, liabilities, income, and expenses are categorized. A proper chart ensures your financial statements are accurate and compliant with accounting standards.
Fiscal Year Start Date (Required)
Enter the date when your accounting year begins.
What to Enter
Select the date using the date picker. For Indian businesses, the financial year typically starts on April 1st. Enter the date as: 2024-04-01.
Why It Matters
All financial reports, profit and loss statements, and balance sheets depend on this date. It defines the period for which your accounts are maintained and reported.
Fiscal Year End Date (Required)
Enter the date when your accounting year ends.
What to Enter
Select the date using the date picker. For Indian businesses, the financial year typically ends on March 31st. Enter the date as: 2025-03-31.
Why It Matters
Together with the start date, this defines your complete financial year. Your annual reports and tax filings will be based on this 12-month period.
Can I Change These Details Later?
Yes, most of these details can be updated later in the Company Settings. However, we recommend setting up your financial year start date correctly from the beginning, as changing it later can affect your reports and data integrity.
Create Demo Company
If you are not ready to enter real data, you can click Create Demo Company. This option is perfect for first-time users who want to explore the software without any risk.
What is a Demo Company?
A demo company is a sample company that comes pre-loaded with dummy data. This includes:
- Sample customers and suppliers
- Example products and services
- Sample invoices and bills
- Demonstration of all features

Creating a Demo Company
To create a demo company:
- On the Welcome Page, click Create Demo Company
- Versoll Books will automatically create a sample company with realistic data

Important Note: The demo company data is for demonstration purposes only. When you are ready to use Versoll Books for your actual business, create a new company and enter your real information.
