Dashboard Overview

Master your business overview with the comprehensive Dashboard guide. Learn to navigate every section, interpret key performance indicators, and leverage real-time insights to make informed business decisions.

Accessing the Dashboard

The Dashboard is the first screen you see after logging in to your company. You can always return to the Dashboard by clicking on "Dashboard" in the sidebar navigation on the left.

Navigation Reminder

The sidebar on the left contains all the main sections of Versoll Books. Click on any item to navigate to that section. The active item is highlighted in the primary color.

Period Selector

At the top of the Dashboard, you will see a Period Selector. This allows you to view data for different time periods.

Available Options

  • This Month - Shows data for the current calendar month
  • This Quarter - Shows data for the current quarter (3 months)
  • This Year - Shows data for the current financial year
  • YTD (Year to Date) - Shows data from the start of the financial year to today

How to Use

Click on the period selector to change the time period. All charts, summaries, and reports on the Dashboard will update to show data for the selected period. The period label is displayed above each section to remind you which period you are viewing.

KPI Summary Strip

The KPI (Key Performance Indicator) Summary Strip displays four key metrics at the top of the Dashboard. These cards give you an instant overview of your financial position.

Cash Balance

The Cash Balance card shows your current cash position. It includes a status indicator that changes color based on your cash health:

What You See

  • Cash Balance Amount - Your total cash balance in bank accounts
  • Status Indicator - A colored dot showing your cash health
  • vs last period - Comparison with the previous period showing change in amount or percentage

Net Profit (This Period)

This card shows your net profit for the selected period. Net profit is calculated as total income minus total expenses.

What You See

  • Net Profit Amount - Your profit or loss for the period (positive = profit, negative = loss)
  • Margin - Profit margin as a percentage of total income
  • vs last period - Comparison with the previous period showing change

Receivables

The Receivables card shows money owed to you by customers.

What You See

  • Receivables Total - Total amount outstanding from all customers
  • Overdue - Amount that is overdue (past due date)
  • Overdue bills - Number of sales bills that are overdue

What It Means

Receivables represent sales invoices that have been sent to customers but not yet paid. Monitoring this helps you track cash flow and follow up on overdue payments.

Payables

The Payables card shows money you owe to vendors and suppliers.

What You See

  • Payables Total - Total amount outstanding to all vendors
  • Due in 7 days - Amount that needs to be paid within the next 7 days
  • Overdue - Amount that is overdue (past due date)
  • Overdue bills - Number of purchase bills that are overdue

What It Means

Payables represent purchase bills from vendors that you have received but not yet paid. This helps you plan your cash flow and ensure timely payments.

Cashflow Chart

The Cashflow chart shows your cash inflows and outflows over time. This helps you understand cash flow patterns and identify any potential cash flow issues.

What You See

  • Cash Inflow - Money coming into your business (sales, payments received)
  • Cash Outflow - Money going out of your business (payments to vendors, expenses)
  • Net Cashflow - The difference between inflow and outflow

Sales and Purchase Panels

These two panels provide detailed information about your sales and purchases for the selected period.

Sales Panel

The Sales panel (Receipts Control) shows comprehensive sales data:

Metrics Displayed

  • Total Sales - Total value of all sales invoices for the period
  • Amount Received - Total amount actually received from customers
  • Amount Outstanding - Total amount still owed by customers
  • Overdue Sales - Amount of overdue invoices
  • Avg. Collection Period - Average number of days to collect payment from customers

Actions Available

  • View overdue bills - Takes you to a filtered list of overdue sales invoices
  • Send reminders - Takes you to overdue invoices where you can send payment reminders to customers

Paid Percentage

Below the metrics, you will see the percentage of sales that have been paid (e.g., "75% paid") and the number of unpaid bills for the period. This helps you quickly assess your collection efficiency.

Purchases Panel

The Purchases panel (Payments Control) shows comprehensive purchase data:

Metrics Displayed

  • Total Purchases - Total value of all purchase invoices for the period
  • Amount Paid - Total amount actually paid to vendors
  • Amount Due - Total amount still owed to vendors
  • Due in next 7 days - Amount that needs to be paid within the next 7 days
  • Overdue vendor bills - Amount and count of overdue purchase invoices

Actions Available

  • Pay bills - Takes you to unpaid purchase bills where you can record payments
  • View overdue vendors - Takes you to a filtered list of overdue purchase invoices

Profit Overview

The Profit Overview provides a visual representation of your income and expenses for the selected period.

What You See

  • Income - Total income from sales and other sources
  • Expenses - Total expenses including purchases and other costs
  • Net Profit - Income minus expenses

Expense Breakdown

The Expense Breakdown shows a detailed breakdown of your expenses by category. This helps you understand where your money is going and identify areas for cost optimization.

What You See

  • Expense Categories - Different types of expenses (purchases, operating expenses, etc.)
  • Amount by Category - The value of expenses for each category
  • Percentage - Each category as a percentage of total expenses

Attention Panel

The Attention panel (on the right side) shows actionable items that require your attention. This panel helps you prioritize tasks and stay on top of important matters.

Types of Alerts

Overdue Sales Bills

Shows the number and amount of overdue sales invoices. Clicking this alert takes you to a filtered list of overdue sales bills where you can follow up with customers.

Upcoming Vendor Payments

Shows the amount of purchase bills due in the next 7 days. Clicking this alert takes you to upcoming bills that need payment.

Overdue Purchase Bills

Shows the number and amount of overdue purchase invoices. Clicking this alert takes you to a filtered list of overdue purchase bills.

Low Cash Warning

Appears when your cash balance is low relative to upcoming payments. The warning shows your current cash balance. Clicking takes you to the Balance Sheet report for more details.

GST Payable/Receivable

Shows the net GST amount. If positive, it shows "GST payable" (you owe tax). If negative, it shows "GST receivable" (you will receive a refund). This only appears if you have registered for GST.

GST Filing Reminder

Reminds you to review your GSTR1/GSTR2 reports for the period. Clicking takes you to the GSTR1 report. This only appears if you have registered for GST.

No Urgent Items: If there are no urgent items requiring attention, the Attention panel will show a message indicating "No urgent items right now."
