Batches & Serials

Batch and serial tracking gives you precise traceability for regulated, high-value, or perishable inventory. Versoll Books lets you track expiry dates, warranty windows, and movement history for each unit.

Key outcomes

Track expiry, control quality, and maintain audit-ready traceability from purchase receipt to sales dispatch.

Batch Tracking

Batch tracking groups multiple units produced or received at the same time. This is essential for pharmaceuticals, FMCG, or food distribution.

Step 1

Enable Batch Tracking

In the item master, toggle Track Batch and set default shelf life. The system then prompts for batch details in receipts and deliveries.

Step 2

Capture Batch Details

When receiving goods, enter the batch number, manufacture date, and expiry date. The batch ledger stores quantity by location.

Step 3

Pick by Batch

During shipment, select the batch to ship. Use FIFO or FEFO to ensure older inventory ships first.

Serial Number Tracking

Serial tracking is used for electronics, machinery, or assets where each unit needs a unique identifier.

Step 4

Enable Serial Tracking

In the item master, enable Track Serial. Each unit will require a unique serial number on receipt.

Step 5

Record Serial Numbers

Use bulk paste to record serial numbers or scan them via barcode. Each serial tracks its warranty and movement history.

Step 6

Trace Serial History

Open the serial card to see purchase receipts, movement logs, and customer delivery details. This helps with recalls and warranty claims.
